Applications
When candidates apply for your positions or to your company, you will be able to manage them in different ways within the system. We will go through this below.
When a candidate applies for a specific position or to your expression of interest, they will of course be placed in these specific positions, but all candidates - regardless of which role they applied for - will also be placed in the candidate bank. There you get an overview of candidates in general.
New application
When you have published an advertisement and candidates start to come in, you will receive a notification about this in the notification center (provided that you are added as a user on the recruitment). When you see the specific recruitment in a table, the number of "new applications" will also have changed. All candidates who apply for a position always end up as "new applications" and will be listed as a new application until you move them to a new status.
Even if you can access a recruitment, it does not necessarily mean that you are added to the recruitment - if you are not added to the recruitment, you will not receive notifications about events. An administrator or main user of the system can see everything in the system without being an active part of a recruitment process.
All applications
If you click directly on the notification in the notification center, if you click on "new applications" in the table on the overview page or on the recruitment table, or finally if you click on "all applications" under applications inside the specific recruitment, you will end up in a view where you see all applications for that recruitment.
By default, all applications in Cruitive are displayed as a list view in a table, where you can see the candidate's name, the status of the candidate (i.e., new application unless you've changed it), you see the rating, and when the application was created. As you can read about under tables here, by clicking on the gear icon in the top right corner of the table, you can manage what information you want to see in your table and handle how the table should be sorted.
Above the table in all applications, you see four square buttons. On the leftmost button, there is a magnifying glass, and you can click this button if you want to search the documents that have come in for this recruitment - you can search for anything, and we will find it in the documents where the specific search term appears. You also see a cloud with an arrow in it, and you can click this button if you want to export the candidate list. Finally, you see two buttons that are connected where one shows a list and the other more like different bars - here you can click to change the view. The table you landed on by default is the list shown on one button, but if you choose to click on the bars, you will instead come to a view where you can manage candidates through drag and drop.
Changing status
When you are in the table view, you can either choose to click on a specific candidate's status to bring up a window from which you change status, or choose to check several of the candidates on the far left in the box on the candidate to simultaneously change status on several. When you check in several, options appear at the bottom of the page in the middle. You can also click on a candidate's profile and from there change status or use the drag and drop view and in that way move candidates between statuses. When you change status, a window will appear where you can choose to send a message or if you do not want to notify the candidate about the move from one status to another. There you can choose to use a template or write a message directly in the window that has appeared.
If you have linked a message to a status in the guide, that message is preset on the status. You will always need to confirm a status move, but note that in this case, the message is pre-filled to be sent. If you have not linked a message to a status, it is preset that no message will be sent.
Rating
You can rate a candidate directly in the table by clicking in the ring for which rating you want to set, scale 1-5. If there is a rating on a candidate but the rating is gray, it means that someone else has rated the candidate but that you have not yet set a rating. If the rating is green instead, it means that you have set a rating. You can hover over the rating to get an overview of who has rated the candidate and what rating each individual person has given the candidate. You can also change the rating inside the candidate's profile.
Add application
In the top right corner of the candidate table, there is a green button that says "+add application". When you click this button, you can manually add a candidate to the specific recruitment. You can choose to add an existing candidate from the system, i.e., someone who has applied to you before and who is in your candidate bank, or to add a new candidate who is not in your system from before. If you add a candidate who is not in the system from before, this candidate will receive a message that they have been added to a recruitment with you and will need to approve the GDPR regulations before you can handle the person in the system.
Applicant profile
When you want to handle a candidate, you can click on the specific candidate, then you will come to the candidate's applicant profile. At the top of the page in the middle, you have a small overview of the candidate, including the candidate's contact information, name, and application date. There is also a small box where you can directly go to the candidate's candidate profile, i.e., the profile that exists in the candidate bank, to see if there is anything on the candidate from before (it also states in parentheses how many applications the candidate has made to your company).
Below the overview field is a field with the heading "actions" and it is in this field that you as a user can perform specific actions on the candidate such as setting a rating, changing status, and adding tags to the candidate. Below this field is a field called "application" and what is shown in this field is a direct reflection of what you wanted the candidate to answer through the application form.
Below this is a field where personality test results are shown if you have used personality tests in the recruitment process. And then there are a number of fields for notes, comments, and document collections.
On the left is a small menu where you can click on messages and send messages to the candidate, you can write to the candidate both as an SMS and as an email directly from the system. The candidate does not need to log in to any profile to respond but can respond directly in the email or on the SMS. You can also conduct interviews with the candidate through the menu on the left.
